Certifications, insurance and vetting

Every engineer DataOptix dispatches is identity-checked, reference-checked and qualified for the work they are sent to do. We hold insurance covering our engineers while on your site, and we can supply certificates and evidence for a named engineer before they attend. This page sets out what we hold and how the vetting works.

Engineer vetting

What every engineer clears before taking work

The network model only works if the vetting is genuine. This is what it involves.

  • Identity verification against government-issued documents
  • Professional reference checks with previous data centre employers
  • Evidence of qualifications relevant to the work they accept
  • Confirmation of the right to work in the country they operate in
  • Agreement to our documentation and photographic evidence standards
  • Acceptance of confidentiality terms covering your estate and data
  • Facility access arranged under your authorisation, never a shared account
  • Performance reviewed on every job, with removal from the network for repeat issues

Insurance

Cover while we are on your site

DataOptix holds insurance covering our engineers and their work while attending your facilities. Certificates are available for your procurement process on request, and we are used to completing vendor onboarding questionnaires and supplier due-diligence forms.

If your facility operator or your own compliance regime requires specific cover levels or named-insured arrangements, tell us during onboarding rather than at the point you need an engineer. Getting that agreed in advance is what keeps an emergency request from stalling on paperwork.

Health and safety

How our engineers work on site

  • Compliance with the host facility's safety induction and site rules
  • Appropriate PPE for the work and the environment
  • Safe working practices around live electrical equipment
  • No work outside the agreed scope without written authorisation
  • Incidents reported to you and the facility operator the same day
  • Escalation to your named coordinator when a job cannot proceed safely

Trust questions

Can we see evidence for a specific engineer before they attend?

Yes. Ask your coordinator and we will provide the vetting evidence and qualifications for the named engineer being dispatched, subject to their consent on personal data.

Do you subcontract work?

We work through a network of vetted independent engineers rather than employing staff in every city, and we are open about that because it is what makes wide coverage possible. Every engineer is vetted to the same standard and works to our documentation requirements.

How do you handle access to our equipment?

Our engineers work under your authorisation with the facility operator and only within the scope of the request you raised. Anything outside that scope is referred back to you before it is touched.

What about data-bearing drives?

Handled to your policy. That can mean secure erasure before return, retention under a keep-your-drive agreement, or certified destruction with a certificate issued to you.

Can you complete our supplier due-diligence questionnaire?

Yes, and we would rather do it during onboarding than when you have an emergency. Send it to us with your first enquiry and we will return it alongside the quote.
